Count every traveller
Include organisers, teachers, coaches and accompanying staff as well as the main group. Ask the operator to confirm usable passenger seats for the exact vehicle. Do not assume a marketing seat count tells you whether it includes the driver. Plan for the confirmed passenger list and tell the booking team if the headcount changes.
A smaller group does not always need a smaller vehicle
A minibus may fit a compact team travelling with modest bags, but airport luggage or tournament equipment can change the requirement. Declare the number and approximate size of bags, musical instruments or sports gear. Seats are for passengers, not a substitute for safe storage. Ask whether a different vehicle or approved luggage arrangement is necessary.
Medium and large group requirements
When requesting a 22- or 40-seater, consider whether one vehicle is preferable to several minibuses. One vehicle can keep the group together; several vehicles may suit separate collection routes, subject to coordination and cost. Neither arrangement is automatically better. Verify storage, boarding access, seat belts and any requested comfort features on the actual proposed vehicle.
Match the vehicle to the itinerary
Tell the provider about narrow site entrances, venue parking, school collection points and intermediate stops. Longer journeys require attention to luggage, rest stops and agreed driver arrangements. Confirm mobility or accessible boarding requirements individually; vehicle size alone does not establish wheelchair access or available assistance.
What your quote should confirm
Request the proposed operator, vehicle type, confirmed passenger capacity, luggage arrangement and itinerary in writing.
